Is Promotion Metrics an EMR?

No. Clinical notes, treatment plans, diagnoses, medication records, physician orders and other official medical documentation remain in the organization’s approved EMR. Promotion Metrics manages and connects the operational workflows around that record.

Does Promotion Metrics replace our billing platform?

No. Promotion Metrics is not a clearinghouse or claims-submission system. It can use authorized financial and operational data for forecasting, reporting, collections coordination and executive intelligence while the billing platform or billing provider continues to manage claims.

Why not purchase one platform that includes CRM, EMR and billing?

Some organizations prefer a complete replacement suite. Others have an EMR, billing partner and specialized systems that work well. Promotion Metrics is designed for organizations that want broader operational coordination without replacing every core system or becoming dependent on one closed platform.

Will we need to replace Salesforce, Kipu, Sunwave, CTM or our existing tools?

Not necessarily. Promotion Metrics can connect with existing systems when appropriate APIs, exports or approved integration methods are available. The implementation plan determines which platforms remain systems of record and which Promotion Metrics products manage surrounding workflows.

How does Promotion Metrics reduce duplicate entry?

Shared records, standardized information and a universal client identifier allow connected products to reference the same authorized information. The amount of duplicate entry eliminated depends on available integrations and the organization’s workflow.

What happens when two systems contain different information?

Promotion Metrics is designed to identify the conflict, preserve the source and create an exception for review. Critical information should not be silently overwritten without an approved rule and audit history.

Can Promotion Metrics prevent missed admissions?

No software can guarantee an admission. Promotion Metrics is designed to reduce preventable operational failures by capturing inquiries, assigning responsibility, tracking response times, identifying blockers and escalating overdue activity.

Can it respond to calls or inquiries after hours?

Yes, depending on the products and configuration selected. CallFlow, AgentFlow, FormFlow and OmniFlow can capture inquiries and perform approved automated actions outside standard business hours. Clinical emergencies and crisis situations must follow the organization’s approved procedures.

Does AI decide whether someone should be admitted?

No. AI can gather information, organize responses, identify missing details and route work. Admission and clinical decisions remain with authorized and appropriately qualified professionals.

Does Promotion Metrics make insurance coverage decisions?

No. VerifyFlow organizes available eligibility and benefits information. AuthFlow manages authorization workflows and deadlines. The payer determines benefits and authorization, and qualified staff decide how that information should be interpreted and acted upon.

Can Promotion Metrics show expected revenue?

RevenueFlow can forecast expected revenue using approved assumptions and available operational data. Forecasts are estimates, not guarantees, and should display their assumptions and data sources.

Does Promotion Metrics store protected health information?

Some products may process protected health information when required for their approved purpose. Architecture, contracts, permissions, logging, encryption, retention and integrations must be configured to support applicable privacy and security obligations.

Is Promotion Metrics HIPAA compliant?

Promotion Metrics is designed to support customers operating in regulated healthcare environments. Available safeguards may include access controls, encryption, audit logging, data segmentation and business associate agreements where applicable. Compliance depends on the deployed environment, configuration, agreements and how the customer uses the system.

Can different employees see different information?

Yes. Role-based permissions can limit users to the organizations, facilities, products, records and actions required for their responsibilities.

What happens if an integration fails?

ConnectFlow is designed to monitor integration activity and create an alert when data does not transfer as expected. Failed transfers can enter an exception queue instead of disappearing silently.

Can we use only one or two products?

Yes. The suite is modular. A facility can begin with the products addressing its most urgent needs and add connected workflows later.

How long does implementation take?

Timing depends on the products selected, facility count, existing systems, integration availability, data migration, workflow complexity, security review and staff training. A scoped workflow review is used to establish a practical plan.

Can Promotion Metrics support multiple facilities?

Yes. The platform is designed for organization-level oversight while allowing each facility to maintain approved users, workflows, capacity, permissions and reporting.

Will AI make changes automatically?

Only when the organization authorizes a specific automation. Higher-risk actions should require human review and approval, and material automated actions should remain documented and traceable.

What makes Promotion Metrics different from a generic CRM?
